Privacy Policy
Effective date: 4 March 2026 · Last updated: 4 March 2026
1. Who We Are
LinguistPro is a web-based AI transcription service operated by Tech Sight (Pty) Ltd, a South African company. We are committed to protecting your personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA).
If you have any questions about this policy or wish to exercise your rights as a data subject, please contact us at info@techsight.co.za.
2. What Personal Information We Collect
We collect only the information necessary to provide our service:
- Account data: email address, display name, first name, last name, country.
- Audio files: audio or video files you upload for transcription. These are stored temporarily and are user-scoped.
- Transcription data: the text transcripts generated from your audio, including speaker labels where diarisation is used.
- Usage data: duration of transcription jobs, engine used, and timestamps — used for billing and service improvement.
- Payment data: transaction references, amounts paid, and plan changes. We do not store card numbers; payments are processed by PayFast.
- Checkout diagnostics: When you buy credit we record checkout diagnostics (for example, that the payment window opened, was cancelled or timed out) against your account to find and fix payment problems; we delete them after about 90 days.
- Technical data: browser type, IP address, and session tokens — collected automatically for security and performance.
3. Why We Process Your Information
We process your personal information for the following lawful purposes:
- To provide and operate the LinguistPro transcription service.
- To manage your account, authenticate you, and enforce usage limits.
- To process payments and maintain billing records.
- To send transactional messages (e.g. payment confirmations, support replies).
- To comply with legal obligations under South African law.
- To improve service quality and detect misuse.
4. Who We Share Your Information With
We share your information only where necessary:
- Supabase: database, authentication, and file storage provider. Data is stored in EU-West data centres.
- Deepgram / AssemblyAI / Groq: audio is sent to these AI transcription providers for processing depending on the language and file size. Audio is not retained by them beyond the API call unless their own policies state otherwise.
- PayFast: payment gateway. Card data never passes through our servers.
- Resend: transactional email delivery.
We do not sell your personal information to any third party.
5. Data Retention
We retain your data for as long as your account is active. When you delete your account, we delete all your audio files from storage and remove your account record from our systems. Anonymised usage aggregates may be retained for service analytics.
Payment records may be retained for up to 5 years as required by South African tax law.
6. Your Rights as a Data Subject (POPIA)
Under POPIA, you have the right to:
- Access: request a copy of all personal data we hold about you. Use "Export my data" in your Profile page.
- Correction: update your profile information at any time from your Profile page.
- Deletion: permanently delete your account and all associated data. Use "Delete my account" in your Profile page.
- Objection: object to processing in certain circumstances. Contact us to raise an objection.
- Complaint: lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.
7. Security
We implement industry-standard security measures including HTTPS encryption in transit, row-level security on all database tables, and server-side API key management. No method of electronic transmission is 100% secure; we encourage you to use a strong, unique password.
8. Cookies & Tracking
LinguistPro uses only functional cookies required for authentication (session tokens). We do not use advertising trackers or sell browsing data.
9. Changes to This Policy
We may update this policy from time to time. The effective date at the top of this page will always reflect the most recent revision. Continued use of the service after changes constitutes acceptance.
